Email Delivery

PatronSend sends documents to patrons via email using your DotDigital account.

How Delivery Works

  1. Document is generated (PDF created)
  2. Email is queued for delivery
  3. DotDigital sends the email
  4. Delivery status is tracked

Delivery Status

View delivery status on any document's detail page:

StatusDescription
PendingEmail queued, not yet sent
SentEmail sent to DotDigital
DeliveredConfirmed delivered to inbox
OpenedRecipient opened the email
BouncedEmail bounced (invalid address)
FailedDelivery failed

Resending Emails

To resend an email:

  1. Go to the receipt detail page
  2. Click Resend Email
  3. Confirm the resend

The original email is marked as superseded.

Delivery Issues

Email Bounced

The patron's email address is invalid or the mailbox is full.

Solution: Update the email address in Spektrix, then resend.

Email Not Delivered

Check:

  • DotDigital connection status
  • Your sending domain's DNS records
  • DotDigital account status

Low Open Rates

If emails aren't being opened:

  • Check if they're going to spam
  • Review your subject line
  • Verify SPF/DKIM/DMARC are configured

Best Practices

Verify Sender Domain

Set up proper email authentication:

  • SPF record authorizing DotDigital
  • DKIM signing enabled
  • DMARC policy configured

Use a Recognizable Sender

Configure your sender name and email so donors recognize it:

  • Good: National Arts Centre <receipts@nationalartscentre.ca>
  • Bad: noreply@dotdigital.com

Include Download Link

The email includes a link to download the PDF. This ensures donors can access their receipt even if attachments are blocked.
